Privacy Policy

Your career history is one of the most personal things you own. This policy explains, in plain terms, what stays on your phone, what leaves it, and what we never see at all.

On your device by default

Your Career Brain

By default, your work history, education, skills, contact details and every resume you generate live in a database on your own device. We hold no copy and we cannot read it.

Leaves your device

Only when you ask

AI features you actively use, such as importing a document, generating or tailoring a resume, writing a cover letter, practicing interview answers, or dictating an answer with your voice, send the relevant content to Google's Gemini API for processing, and the result comes straight back to you. Nothing is sent in the background.

Optional, not required

Sign in only if you want to

There is no requirement to create an account. Every core feature works without one. If you choose to sign in to sync across devices, we still never sell your data, serve ads, or use your career content to train our own models.

01Who we are

AI Resume Builder (the app) is developed by Kripesh Adwani, operating under Cyberclaw Technologies (UpskillAI), referred to below as "we" and "us". For the purposes of data protection law, we act as the data controller and data fiduciary for the processing described here.

By using the app, you agree to the practices set out in this policy.

02On-device by default

By default, the app keeps your career information in a database on your own device. We run no server that stores your Career Brain, your resumes, or your contact details unless you choose otherwise, as described below.

If you choose to sign in with Google or Apple, your Career Brain, including your resumes and contact details, is also backed up to a secure cloud database tied to your account, so that it can sync across your devices. This backup also covers your tailored job applications: the job descriptions you save, the tailored resumes and cover letters (including earlier cover letter drafts) generated for them, the match analysis between your profile and each job, and your application tracking status. Signing in is entirely optional, and every core feature of the app, including import, analysis, and resume generation, continues to work fully without it.

Separately from local storage and sign-in, some features cannot run on the device at all. When you use them, specific content is transmitted to our AI provider, processed, and returned. Section 04 sets out exactly what is sent, and when.

03What the app handles

Career information you provide

When you import a resume or LinkedIn PDF, or type your details in manually, the app processes information such as your name, email address, phone number, links, work experience, education, skills, projects and certifications. By default, all of it is stored locally on your device.

Account information, if you sign in

Signing in is optional. If you choose to sign in with Google or Apple, we receive your name, email address, and profile photo from that provider, along with a unique account identifier. This is used solely to authenticate you and to sync your Career Brain across your devices. We do not use this information for advertising, and we do not share it with any other party.

Documents and job descriptions you provide

The resume or LinkedIn PDF you import is read by the app and sent for AI extraction. If you use the tailoring feature, the job description you paste, upload as a PDF or DOCX, or fetch from a link you paste is likewise read by the app and sent for AI parsing. We do not store your uploaded documents on any server of ours; when you paste a job link, the app fetches that page directly from the site hosting it.

Diagnostics and usage data

To keep the app stable and understand which features are used, we collect crash reports (via Firebase Crashlytics) and anonymous usage statistics (via Google Analytics for Firebase), such as the fact that an import completed, a resume was generated, or an AI request failed. These events carry only feature names, counts and device information. They never include the contents of your resume or Career Brain, your name or contact details, or the text of any job description. We do not collect your device's advertising identifier, and this data is not used for advertising or cross-app tracking.

You can turn this collection off at any time with the "Share anonymous usage statistics" switch in the app, in the About section of the Profile tab. The app works identically either way.

04AI processing and Google Gemini

The app uses Google's Gemini API, each use triggered by an action you take:

  • Extraction: reading your uploaded document and turning it into structured career data.
  • Quality analysis: reviewing how your experience descriptions are written.
  • Enhancement: rephrasing the content you select for a resume into stronger bullet points.
  • Profile summary: drafting a professional summary from your career data.
  • Job description parsing: turning a job posting you paste or upload into structured requirements.
  • Resume tailoring: matching your career data against a specific job posting and producing a resume targeted at it.
  • Cover letter generation: writing a cover letter for a job you are tailoring to, only when you ask for one.
  • Interview preparation: generating likely interview questions for a job you have tailored a resume to.
  • Answer feedback: reviewing a practice interview answer you type or speak aloud, and suggesting a stronger version. A spoken answer sends the voice recording itself for review, and the feedback comes back together with a transcript of what you said.
  • Voice dictation: turning a voice recording you make into text, when you choose to dictate instead of typing (for example an interview answer or a work-experience description). The recording is sent only to produce that result; the app deletes it from your device as soon as the result comes back, and we do not store it on any server of ours.

To do this, the relevant content, which includes personal information such as your name, contact details and employment history, and for the tailoring features also the job description and any practice answers you type or speak (including the voice recording itself while it is being processed), is transmitted to Google and processed on Google's infrastructure. That infrastructure may be located outside your country, including in the United States. The processing is governed by Google's terms for the Gemini API and by Google's privacy policy.

These requests reach Google through Firebase AI Logic, a Google service that authenticates the app itself rather than embedding any credential in it. Under the Gemini API terms that apply to our configuration, Google states that prompts and responses are not used to improve or train Google's models.

The app does not send anything to Google in the background. Responses are cached on your device, so repeating the same action with unchanged content does not send your data again.

05Permissions on your device

The app asks for very few device permissions, and only at the moment you use the feature that needs one. You can refuse any of them and carry on using the rest of the app.

  • Microphone. Used only when you tap a record or dictate control, to capture a voice note you want turned into text or reviewed as a practice interview answer. The app never records in the background. The recording is held as a temporary file on your device, sent for processing, and deleted as soon as the result comes back. We do not store it.
  • Camera and photo library. Used only if you choose to add a profile photo. See the note on profile photos in Section 03.
  • Files. Used when you pick a document to import, and when you choose where to save a resume or cover letter you have exported.

The app does not request your location, your contacts, your calendar, or your device's advertising identifier, and it never asks to track you across other apps and websites.

06AI content and your control over it

Before any feature sends your information to Google for processing, the app says so on the screen you are on, directly beneath the button that starts it, together with a link to this policy. Starting that action is your permission for that processing, and the app records on your device that you have given it. You can decline simply by not using the AI feature; everything else in the app continues to work.

AI-generated text can be wrong. A tailored resume, a cover letter, an interview question or a piece of writing feedback is a draft for you to check and edit, not a statement of fact about you, and you remain responsible for what you send to an employer. Every screen that displays AI-generated content carries a Report AI Content action, so you can tell us when something is inaccurate, offensive or otherwise wrong.

07What we never do

  • We do not sell or rent your personal data.
  • We do not show advertising, and we do not share your data with advertisers or data brokers.
  • We do not use your career data to train our own AI models.
  • We do not share your resume with recruiters, employers, or any other third party.

08Legal basis for processing

Where the GDPR or a similar law applies, we rely on the following:

  • Performance of a contract, to deliver the features you asked for, meaning importing, analysing and generating resumes, and syncing your data if you sign in.
  • Legitimate interests, to keep the app secure, stable and free of abuse through diagnostics and crash reporting.
  • Consent, for signing in and for any optional analytics, both of which you may decline without losing access to the app's core features.

09Retention and deletion

If you have never signed in, your career data exists only on your device, for as long as you keep it there. You can edit or delete any entry, replace your Career Brain by importing again, or remove everything by deleting the app. Because we hold no copy in this case, there is nothing on our side to delete.

If you have signed in, your Career Brain is also retained in our cloud database for as long as your account exists, so that it stays synced across your devices. You can delete your account and all associated cloud data at any time from Profile → Delete Account inside the app, or by requesting deletion at upskillai.io/delete-ai-resume. Deletion started in the app is permanent and completes immediately. Requests submitted through the web page are completed within 30 days of you confirming by email.

Please back up what you cannot lose. If you use the app without signing in and your device is lost or reset, or the app is uninstalled, your Career Brain goes with it and we have no way to recover it. Sign in to keep a synced backup, so that anything that matters to you can be restored on a new device.

10Your rights

Depending on where you live, you may have the right to access, correct, export or delete your personal data, to object to or restrict processing, and to withdraw your consent.

If you have not signed in, most of these rights are exercised directly on your device: every field is visible and editable, and you can delete it at any time. If you have signed in, the same controls in the app also apply to your cloud-stored data, and you can delete your account and its data at any time using the in-app control or the deletion link in Section 07. If you would like a copy of your data in a portable form, write to us at the address below and we will provide one. If you have any other request we can help with, or a complaint about how we handle data, write to us at the same address. You may also complain to your local data protection authority.

11Children

The app is not intended for children. You must be at least 16 years old to use AI Resume Builder. We do not knowingly collect data from anyone under that age.

12Security

Your locally-stored data sits in your device's app storage, protected by the device's own security, including your passcode, biometrics, and operating system level sandboxing. Anything transmitted for AI processing is encrypted in transit over HTTPS.

If you sign in, your cloud-stored data is also encrypted in transit and at rest, and access is restricted so that only your authenticated account can read or write it.

On iOS, if you have iCloud device backups turned on, your app data may be included in those backups under Apple's terms. On Android, the app opts out of Google's device backup, so your locally-stored data is not copied into Android device backups; signing in to cloud sync is the supported way to move it to a new device.

No system is perfectly secure. We cannot guarantee absolute security, particularly on a device that is jailbroken, rooted, or shared with other people.

13Third-party services

The app relies on a small number of providers. Each of them processes data under its own privacy policy.

ProviderPurposeWhat it sees
Google Gemini (via Firebase AI Logic) Document extraction, quality analysis, resume enhancement, profile summaries, job description parsing, resume tailoring, cover letters, interview preparation and answer feedback The documents, career content, job descriptions and practice answers you submit for processing
